Purpose and Scope

The Administrative Assistant of the International Division will assist the Sr. Project Coordinator in the fulfillment of his/her role and responsibilities. Effectively works with internal and external customers with a high level of care. Performs administrative tasks effectively and efficiently while modeling and utilizing excellent process management skills that help to continuously improve the services provided by the International Division. The successful candidate will exhibit competence in the role, possess strong communication skills, interpersonal, and organization skills. The successful administrative assistant will strike a balance by combining their technical skills with their communication skills to contribute to a continuously improving department with integrity for the needs of the organization.

Essential Job Functions

Process, verify, and monitor Scripture orders
Monitor and manage inventory of printed resources (merchandise) and supplies
Edit, proof, create, and post resources and training materials
Prepare and process documents for translation
Provide customer support, testing, troubleshooting for technical (IT) processes and websites
Process database updates
Research and organize data for reports and presentations
Proof and edit standard operating procedures for the Division
Update master lists and materials as appropriate
Field phone call and email requests for Scriptures and other inquires according to policy
Type and proof correspondence, reports, memoranda, and forms
Read and process print and electronic communications
Maintain files (electronic and paper)
Other duties as assigned

Other Essential Functions
Participate in department team meetings
Assist with entertaining key dignitaries (Gideons and non-Gideons) who visit Headquarter

Working Relationships

Reports To: Sr. Project Coordinator, International Division
People Management Responsibility: None
Works Closely With:(Internally) The International Division; (Externally) key dignitaries – Gideon and non-Gideon, International Cabinet, International Outreach Committee, national leadership teams in international outreach countries

Essential Knowledge, Skills, and Training & Development


Follow verbal and written instructions
Ability to use PC and widely-used software applications, especially Microsoft Office applications
Ability to learn new software applications as necessary
Ability to provide analytical skills
Ability to communicate effectively with International Outreach Division team members site team members, all departments, vendors, clients, etc

Minimum Qualifications

Associates degree or equivalent experience
3-5 years of administrative support experience or equivalent work experience
PC experience, especially in Microsoft Office applications
Successful completion of a drug and background screen

Preferred Qualifications

Bachelor’s degree or equivalent experience
