Purpose and Scope

The Administrative Assistant supports the Sr. Manager, Scripture Publishing & Procurement through detailed management of processes, schedules, and projects. The successful administrative assistant will utilize their technical and communication skills to continually improve divisional functionality within the organization.

Essential Job Functions

Administrative Assistance
Answers and responds to phone calls for self and Sr. Manager
Oversees departmental key task lists on behalf of Sr. Manager
Maintain a book of general departmental reports, update weekly
Researches policy file when needed
Manages division’s pending files
Maintain Scripture Library
Maintain storage of Scripture samples: keep an inventory of the Scriptures and give away when requested, request samples from the printer when Purchase Order is placed
Assists with preparation and follow up with Sr. Manager’s assignments and activities
Coordinates relevant needs and reservations for meetings, guests and vendors
Manages personal, department, and Manager’s calendar
Regularly maintains divisional filing according to the Unified Filing Process
Order and maintain inventory of divisional office supplies
Generate Purchase Orders and payments for 3rd party vendors who do proofreading or typesetting for the ministry
Prepares and processes expense reports using Concur
Assists with calls of individuals wanting Scripture or having questions concerning Scripture
Assist in travel preparations
Create team meeting agenda and take meeting minutes

Other Essential Functions
Coordinate the corporate annual filing process according the Unified Filing Process
Assists with organizational breaks and lunches as required
Conducts TGI Building tours as required
Serve as back up support for Purchase Order Processing as required

Essential Knowledge, Skills, and Training
Follow verbal and written instructions
Ability to use PC and widely-used software applications, especially Microsoft Office applications
Ability to learn new software applications as necessary
Ability to provide analytical skills as necessary
Ability to communicate effectively with Gideon Country leadership; IOD, NAD, and SP&L team members; national and international organizations holding copyright to various Scripture versions

Minimum Qualifications
Solid Christian testimony and maturity
3-5 years administrative work experience
PC experience, especially in Microsoft Office and Adobe Acrobat applications
Successful completion of a drug and background screen

Preferred Qualifications

Bachelor’s degree preferably in accounting, business, or general finance or 3-5 years similar work experience
In-depth knowledge of Microsoft Office Applications and Microsoft Dynamics/Great Plains
Knowledge of Adobe Acrobat Professional Suite
