Purpose and Scope

The Administrative Assistant, Communications, supports the Communication Division through detailed management of processes, schedules and projects. The successful administrative assistant will utilize their technical and communication skills to continually improve departmental functionality.

Essential Job Functions
Manage organization and retrieval for both physical and electronic files
Assist in the writing, proofing, and production of communications materials
Assist in trafficking projects
Order and maintain inventory of departmental office supplies
Manage all forms of correspondence
Maintain departmental calendars
Arrange meeting details as needed
Process expense reports
Maintain Communications related materials on member website
Lead tours of International Headquarters and cover front desk as scheduled
Other duties as assigned

Essential Knowledge, Skills, and Training & Development

Follow verbal and written instructions
Ability to use both PC and Apple operating systems and commonly used software applications, including but not limited to Microsoft Office Suite and Adobe Acrobat
Ability to learn new software applications as necessary, like Adobe Creative Suite
Ability to provide both analytical and creative skills
Ability to communicate effectively with all departments, vendors, members, etc.
>Good understanding of workflow and project management best practices is desirable
Experience working with creative and marketing teams is a plus

Minimum Qualifications
Associate degree or equivalent experience
Proficient with PC platform
Proven experience with Microsoft Office Suite
Successful completion of a drug and background screen

Preferred Qualifications
Working knowledge, understanding and acceptance of Gideon policies, procedures and organizational structure
Ability to use Apple hardware
Superior editing and proofreading skills
