Purpose and Scope

The Auxiliary department project coordinator is an engaged and motivated member of the team, and is capable of and empowered to make a positive contribution to the growth of the ministry. With a proactive approach, the project coordinator shall plan, execute, and finalize projects according to deadlines. This includes coordinating efforts of team members and third-party consultants in order to complete projects according to plan. The project coordinator shall work with both internal and external customers to organize the various components needed to initiate and conclude major projects. Duties include coordinating schedules and activities, and tracking progress and results. The successful project coordinator will strike a balance by combining technical skills with communication skills to build a continuously improving Auxiliary department with integrity for the needs of the department and the organization’s membership.

Essential Job Functions
ESSENTIAL FUNCTIONS
Perform advanced and varied administrative duties requiring first-rate administrative skills
Field calls, emails, and correspondence, and resolve routine issues/concerns
Conduct research as necessary for the completion of projects
Schedule and maintain calendar of appointments, meetings, and travel itineraries and coordinate related arrangements
Responsible for special projects where only broad direction is available for anticipated results
Effectively manage outgoing correspondence in a timely manner – email, post and telephone
Utilize standard protocol for the organization, storage and retrieval of data/information
Work collaboratively with the Support Service administrative assistant.

RESOURCES AND MATERIALS

Assist with the development, production, approval, proofing and maintenance (including scheduled updates) of Auxiliary resources, training materials, merchandise and forms
Interface with the Communications division as it relates to the production of printed/posted Auxiliary materials
Assist with Auxiliary resources for international conventions, biennial presidents conferences, international Auxiliary cabinet meetings, and other meetings and conferences, and training opportunities
Monitor inventory of Auxiliary resources to ensure uninterrupted supply and
Attend and participate in monthly Production Meetings hosted by the Communications division

AUXILIARY CABINET, IACRS, STATE LEADERSHIP

Assist in compiling and transcribing International Auxiliary Cabinet minutes (pre- and post-); and assimilate Auxiliary Book of Reports
Provide administrative assistance, as directed, to International Auxiliary Cabinet officers and International Auxiliary Cabinet Representatives
Prepare resource materials for International Auxiliary Cabinet Representatives assigned to national association conventions
Assemble International Auxiliary Cabinet Representative training manuals, as updated annually by the International Auxiliary Cabinet
Maintain electronic files for national and state convention reports

EVENTS

Assist with proofing/finalizing Auxiliary portion of the International Convention program
Assist with arrangements for biennial Auxiliary Presidents Conferences, as assigned
Assemble biennial Auxiliary Presidents Conference notebooks
Upload to theConnection Auxiliary papers, PPTs, and handouts following International Convention and biennial Auxiliary presidents conferences

OTHER

Provide administrative support to the Manager – Auxiliary
Develop and maintain a detailed project schedule/calendar on an on-going basis
File all project/event documents (hard and soft copies)
Active engagement in departmental team meetings
Ensure coordination/interface of Auxiliary department with all other TGI departments, to include upcoming events
Assist with complementary materials for training webinars (research, PowerPoint and follow-up resources)
Ensure coordination/interfaces of all disciplines within Auxiliary department
Respond to external requests on a timely basis
Work collaboratively with Auxiliary team members to provide necessary information and forms for Auxiliary events
Assist in administering and integrating Auxiliary Five Core Programs at every level
Maintain up-to-date notebook of ministry reports (financial, etc.)
Cross-train on processing medical conventions
Handle correspondence (written or via email) concerning Auxiliary matters
Maintain and supply Auxiliary news items of national or international interest to Communications
Provide tours of TGI headquarters as scheduled
Other duties as assigned

Essential Knowledge, Skills, and Training & Development

Ability to use PC and widely-used software applications, especially Microsoft Office applications
Ability to learn new software applications as necessary
Ability to provide analytical skills
Ability to communicate effectively with manager, Auxiliary co-workers, all TGI team members, International Auxiliary Cabinet members, state Auxiliary Cabinet members, Gideon and Auxiliary camp members, and vendors

Requirements
Bachelor’s degree or equivalent experience preferred
3-5 years of administrative support experience or equivalent work experience
PC experience, especially in Microsoft Office applications
Successful completion of a drug and background screen
